"Audio Consultation Minutes" refers to the cumulative time allocated for audio-based documentation features.

4. User Registration and Accounts

4.1 Eligibility

• Users must be at least 18 years old
• Users must be qualified healthcare professionals
• Users must provide accurate registration information

4.2 Account Security

• Users are responsible for maintaining account confidentiality
• Users must notify us immediately of any security breaches
• Users are liable for all activities under their account

5. Subscription and Payments

Core Plan:

• All Starter features
• 750 audio consultation minutes monthly

• Up to 60-days automatic data deletion option
• One-month free trial

Pro Plan:

• All Core features
• 7,500 audio consultation minutes monthly per user
• Unlimited custom templates
• Team collaboration features
• Task assignment and tracking
• Detailed user activity log
• Up to 90-days automatic data deletion option
• Priority customer support
• One-month free trial (Applicable only to the account owner and not for invited users)

Enterprise Plan:

• All Pro features
• Custom audio consultation minutes
• Unlimited custom templates
• Advanced roles & permissions
• Organization-specific hosting
• Custom number of days automatic data deletion option
• Dedicated account manager
• Custom free trial period (Applicable only to the account owner and not for invited users)

5.2 Payment Terms

• Payments accepted in GBP or USD
• Amounts indicated on the website are shown in USD
• All amounts include VAT
• Monthly or yearly billing options
• Two months fee discounted with annual billing. (Two months free)
• Automatic renewal unless cancelled
• No refunds for cancellation during subscription period
• Refunds only in exceptional circumstances and at the discretion of ClinicalPad
• Account owners will only be charged for invited team members, once the invited team members have accepted the invite and verified their accounts

5.3 Audio Consultation Minutes

• Minutes reset monthly
• Unused minutes do not carry over
• Excess usage requires plan upgrade
• Enterprise plans offer custom limits

6. User Obligations

Users must:

• Comply with all applicable laws and regulations
• Review all AI-generated content for accuracy
• Maintain appropriate patient consent
• Use the Platform responsibly
• Protect patient confidentiality
• Follow security best practices
• Adhere to template usage limits
• Monitor audio consultation minute usage

7. Intellectual Property

7.1 ClinicalPad's Rights

• Platform and content are owned by ClinicalPad
• Trademark and copyright protection
• Licensed, not sold, to users

7.2 User Content

• Users retain rights to their content
• Grant license to ClinicalPad for service provision
• ClinicalPad may use anonymised data for improvement

8. Data Protection and Privacy

• GDPR compliant
• HIPAA compliant
• Local data storage (US, UK, AUS, CAD Regions).
• End-to-end encryption
• Regular security audits

8.2 Data Processing

• Processing according to privacy policy

• Not a substitute for professional judgment

10. Term and Termination

• Subscription-based access
